Records Department

The Records Department is staffed by civilian personnel responsible for data entry, and the control, maintenance and retrieval of police reports and documents.

Police Reports & Public Records

Much of the information that the Canby Police Department stores is routinely available to the public for a fee:

  • Non-criminal accident reports
  • Some property crimes reports
  • Tow reports
  • Basic information on arrested adults

There are exceptions under the law that restrict the release of some records deemed confidential or sensitive, or as exempt from public disclosure. Examples of confidential or exempt information include (but are not limited to):

  • Elder Abuse            
  • Child Abuse   
  • Juvenile Records      
  • Physical and mental health information
  • Information related to an ongoing investigation
  • Certain personal information

The first step in the process is to complete a Police Records Request form and submit it to the Records Unit.  Within five (5) business days, the Records Unit will send you a written email response confirming receipt of your request, along with an estimate or actual cost of the record(s) being requested, and directions for making payment.  If additional research is required before a cost estimate can be provided, you will be notified. Once your payment has been received, the report will be prepared for release, which may take up to an additional ten business days.  Email is the preferred method of communication.  You will be contacted by phone only when no email address is provided.

Towed Vehicle Release

Vehicle tow releases are processed at the Records counter during regular business office hours.  Outside of regular business hours, contact non-emergency by using the blue dispatch call box located in the facility entrance or call (503) 655-8211.  An officer will be dispatched to assist you.
